Financial Aid Refunds

A student who withdraws in the first week of the quarter without attending class may receive a 100% refund, less the registration fee and $10 student identification OneCard fee. Students paying their own tuition and fees receive the refund directly. All refunds are made according to the following schedule:

  • 1st week – 90% refund

  • 2nd week – 80% refund

  • 3rd week – 70% refund

  • 4th week – 60% refund 

For students on financial aid, refunds are first applied to all aid agencies, and second to the student (see Return of Title IV Funds section).


Refund Procedures

The date used to calculate the refund is determined as follows:

  1. In the case of a student who officially withdraws, the date of withdrawal.

  2. In the case of a student who unofficially withdraws, the drop out date, which is the last recorded date of class attendance as documented by instructors and the retention counselor.

  3. In the case of a student who is expelled, the date of expulsion.

  4. In the case of a student who receives all F’s and a last date of attendance cannot be determined, mid-term will be used.


If the student received Title IV funds other than Federal Work Study Program, a portion of the refund will be returned to those programs.  The refund is defined as the difference between the amount of Title IV aid disbursed and the amount of aid earned.


The Title IV portion of the institutional refund will be distributed to the Title IV programs in the following order:

  1. Unsubsidized Federal Direct Loan 

  2. Subsidized Federal Direct Loan

  3. Federal Pell Grant

  4. FSEOG


The amount of refund returned to a program may not exceed the amount received by the student from that program.

  1. No portion of a refund is returned to the Federal Work Study program.

  2. The refund is returned to the appropriate program account within 30 days of the date that the student officially withdrew, was expelled, or the institution determined that the student had unofficially withdrawn.

  3. The portion of the refund allocated to the Federal Direct Student Loan is returned to the lender within 30 days of one of the following:

  • Official Withdraw - In the case of an official withdrawal, the student’s withdrawal date is either the date the student notifies the school of his or her intent to withdraw or the date of withdrawal specified by the student, whichever is later.

  • Unofficial Withdrawals - In the case of an unofficial withdrawal, an unapproved leave of absence, or a student’s failure to return at the end of an approved leave of absence, the withdrawal date is the last recorded date of class attendance (as documented by the school).  Further, the school is required to determine the withdrawal date for an unofficial withdrawal within 30 days of the end of the period of enrollment, the academic year, or the program, whichever is earliest.

  1. The institution’s refund, repayment, and distribution policies will be disseminated to prospective and current students in the student services handbooks and SKC Catalog.


Repayment

In the event of an overpayment, the Financial Aid Office will notify the student and Business Office, which in turn will bill the student. A student that owes a repayment on a Federal Pell Grant or FSEOG remains Title IV eligible for 45 days if the student repays the overpayment to the institution in full or makes repayment arrangements satisfactory to the institution. The business and financial aid offices manage a list of students that owe Title IV funds, contact other institutions as needed, and monitor the situation until rectified. Students owing a repayment will not receive further assistance and remain on the list until the debt is paid in full.
